Workday Time Tracking Changes Toolkit

Workday time tracking is an innovative time-and-attendance application that is available any time. With this new method of Time Tracking, CSU employees and managers will be faced with some major changes in the way they track and approve time. Most importantly, in Workday, for an employee to be paid, time sheets must be submitted AND approved!

If you currently enter your time into TCP/ AIS, you will continue to enter your time by checking in and checking out in Workday.

Major Impacts of Workday Time Tracking

The table below highlights all change impacts you can expect.

*Reporting: Auditing Location

Some departments use the Time Clock Plus Punch Location report to track where employees clock in or out, but Workday’s Time Tracking does not offer this feature. Time Tracking will indicate how employees enter their time (Check In/Out or Timesheet and mobile app, Kiosk, or desktop), but not where. As the system evolves, additional tracking options may be available, but for now, departments should review current practices to decide what data needs monitoring and how to manage it within the new system.

Action Required

You are encouraged to collaborate with your teams to assess any potential implications for your department or college unit.

  • Evaluate any existing policies and procedures regarding tracking time.

  • Where will employees be expected to log their time (mobile device, kiosk, desktop)?

  • Will your employees need to access a Kiosk to enter time?

  • If so, information to order can be found here:  Ordering iPads for TT Kiosks

  • Are there any considerations regarding device accessibility?

  • Are there any potential concerns or challenges associated with dual-factor authentication (DUO)?

Manual Period for Tracking Time: December 27 – January 4

To facilitate the transition between the current and new time-tracking systems, manual time tracking will be required from 12/27/2025 to 1/4/2026. Hourly employees who track time are asked to record their time offline during this period. Time entries should be entered into Workday on January 5, when the system becomes available.

A Time Tracking Template will be available for use if needed.  See below for a link to the template.
