Summer Session Period Activity Pay
Employees with 9-month appointments are designated in Workday by the Annual Work Period on their job. To pay these employees for work performed over the summer, an additional job for summer session does NOT need to be created. Instead, Period Activity Pay should be created on the existing 9-month job. There are two types of summer period activity pay: Summer Instructional and Summer Non-Instructional. Summer Instructional is intended for employees teaching summer courses.
Both types of summer period activity function the same way and have the same account posting rules. They will utilize the base salary object codes for the job’s employee type (5011/5012 for Faculty, 5311/5312 for Graduate Research Assistants, etc.). If a Graduate Assistant is performing a different type of work during the summer, run the Change Job task to change the Graduate Assistant’s job profile to the appropriate type effective when the new type of work will be performed.
Employees should not be paid more per month during the summer than their 9-month monthly rate. A report, “Monthly Salary for Summer Session,” includes that monthly rate for reference. If an employee is receiving a salary increase effective July 1 that should apply to their July and August pay, it is recommended that period activity be created through June 30, and a separate period activity be created for July and August once that increase is finalized.
Example: a 9-month Graduate Teaching Assistant will be performing research for May 16 through August 15. A Change Job task is initiated to change the job profile to “Graduate Research Assistant – FC” effective May 16. Period Activity Pay of the Summer Non-Instructional type is created for May 16 through August 15, using the Academic Period, “Summer 2026.” Costing Overrides is used to assign account(s) to the earnings. The Customize Payments option is used to distribute half payments (and the Work Hours) to May and August and full payments to June and July.
