What is Workday?

Workday is a simple, accessible, and secure cloud-based system. It manages HR, Payroll, Recruiting, and Talent/Performance data, offering faster, more reliable access. Workday will replace many manual systems used today at CSU.

Our current systems are outdated. Workday will eliminate outdated, duplicative systems across the CSU System. This modern HCM approach will streamline operations, reduce redundancies, and improve efficiency – freeing up staff time and enabling cost savings.

Workday offers a modern, efficient, and user-friendly platform to support evolving HR needs.

All Employees – Workday’s Employee Self Service (ESS) functionality will allow employees to update or change personal information quickly and view detailed earning statements and W-2s. Other benefits include:

· Clear and accurate view of departments, teams, and employees through organizational charts

· Elimination of many existing manual processes and paper forms

· Access to reports and customized views that will have the dashboard information needed to do work quickly.

· Mobile access and availability outside of the CSUS network

 

Managers/Supervisors – Through Workday’s Manager Self Service (MSS) functionality, managers will be able to take the lead in accomplishing many duties that previously required support from other departments or team members.  

Workday meets high standards, including CJIS compliance, and sets industry benchmarks for cloud security. It runs on AWS and includes strong audit capabilities, role-based access, and encryption.

At Fort Collins, Workday will replace Oracle, Time Clock Plus, Equifax, and Talent Management System (TMS).

At CSU Pueblo, Workday will replace Glacier, Maxwell Health, AIS Student Hiring, and AIS Payroll.

Workday uses CSU Single Sign-On (SSO) for login credentials. The “Change Password” option in Workday is part of the standard system but does not update your login password.

Navigate to your Profile.  From the menu on the left, select Personal.  Your legal name will be displayed in the Names tab along with your preferred name. 

Most employees are assigned a standard schedule:

  • Full-time employees typically see a schedule with five 8-hour days
  • Part-time (50% FTE) employees typically see a schedule with five 4-hour days

These schedules are meant to be a general guideline. They don’t reflect exact start times, end times, or lunch breaks, and they’re not meant to match every individual work pattern.

The important thing to know is that your Work Schedule does not limit the hours you can enter. For example, even if your schedule shows five 4-hour days, you can still enter 32 hours in a week if that’s what you worked.

If a manager needs to show a more specific schedule for planning or visibility, they can assign a custom work schedule in Workday.
